Program Management
My program management experience focuses on implementing, refreshing, and migrating high-end servers, storage, Operating Systems, and high-availability solutions for diverse clients across India. These projects encompass on-premise, private, and public cloud environments. I'm adept at handling both Fixed Scope (FP) and Time & Material (T&M) projects. In FP projects, scope and budget are fixed while time is variable. Conversely, T&M projects have a variable scope.
As a program manager, I've successfully delivered 6 programs ranging from $250K to $5M with a 100% success rate. My core philosophy is to prioritize delivering core functionalities the customer has contracted for. Early in my career, I learned a valuable lesson about managing scope creep. Focusing on "nice-to-have" features initially led to scope dilution, impacting timelines and budgets. Thankfully, with guidance from a senior colleague, I was able to course-correct and recover the project.
Effective program management hinges on key documentation. Regardless of project size or complexity, I maintain three essential documents:
-
Risk Register: Identifies and tracks potential project risks.
-
Project Plan with Dependencies: Outlines project tasks, dependencies, target start and end dates, and facilitates progress tracking.
-
Cost & Revenue Tracker: Monitors project spending and income, including timesheets and expenses.
Additional documents are maintained in a central repository, such as approvals for deviations, additional efforts, customer communications, and contract documents.
Risk management involves maintaining two registers - one internal and one customer-facing. High-risk items are clearly communicated to stakeholders via email and addressed in a timely manner.
Project planning tools are chosen based on project size and complexity. For smaller projects, I utilize Excel spreadsheets, while Microsoft Project is used for larger, more intricate projects.
During the execution phase of FP projects, I source appropriate resources from both internal and client teams. Daily stand-up calls involving both parties ensure continuous project progress. Even small daily advancements are crucial, as I believe prolonged delays erode project focus and motivation.
For T&M projects, understanding the client's intent behind procuring resources is key. Whether it's assessment, fine-tuning, support during major changes, or ongoing maintenance, I align resources efficiently to meet the client's needs and foster long-term relationships evidenced by consistent year-over-year renewals.
Effective communication is paramount. I provide stakeholders with weekly status reports and empower team members to collaborate internally and with extended customer teams to resolve roadblocks. Additionally, I leverage elements of Scrum methodology, such as transparency, collaboration, self-organization, and value-based prioritization, combined with traditional waterfall practices to tailor project execution to specific client requirements. This hybrid approach ensured a successful project outcome.

Key Practices :
-
Scope: Prioritize core deliverables as per the client contract.
-
Time: Maintain continuous project progress.
-
Budget: Manage costs effectively with a balanced approach.
